Position Accountabilities: The Administration and Communications Coordinator reports to the Executive Manager

Fraser Valley Mountain Bikers Association
The Fraser Valley Mountain Bikers Association (FVMBA) is a registered non-profit organization, overseen by a volunteer Board of Directors, and supported by many volunteer trail builders, mountain bikers, and trail lovers in the Fraser Valley. The FVMBA advocates for, and maintains, multiple recreational trail networks within the Fraser Valley in partnership with different land managers, including Recreation Sites and Trails of the Province of British Columbia. The mission of the organization is to build a culture of inclusive mountain bike communities and sustainable trail networks. We actively maintain over 600 km of multi-use trails to provide a safe, enjoyable experience for trail users, including mountain bikers, hikers, trail runners, and others.
Position overview
The Administration and Communications Coordinator works closely with the Executive Manager to complete the administrative and organizational tasks required to enable the FVMBA fulfill its Mission. The individual will also work with Board members, other FVMBA staff, and external stakeholders to maintain and enhance FVMBA’s visibility, reputation, and community relations. This person will assist with tasks associated with revenue generation, membership development, community development, and Board development.
Primary responsibilities
The Administration and Communications Coordinator will work with the Executive Manager, staff, and Board to complete the administrative tasks required in carrying out the organization’s strategic and operational plans. This includes assisting with:
- Coordinating meeting locations
- Assisting with insurance requests, assembling the documentation required for insurance, etc.
- Website content updates, maintaining the online Events Calendar, coordinating blog posts, social media posts, and eNewsletters
- Collecting information, photos, and drafting communications
- Collecting information required to draft contracts and agreements
- Maintaining an organized file system
- Creating invoices and maintaining invoice records
- Email monitoring, responding, and redirecting
- Finding and collecting prize donations, and various other donations (such as supplies and tools)
- Coordinating signage
- Coordinating delivery of communications tools to partners
- Participating in committees and project teams as required
- Collecting committee reports to develop quarterly Operations Plan Progress Report
- Assisting with sponsor development and sponsor relations
- Completing Sponsorship Agreements, Invoices, Sponsor Profiles, and Sponsor social posts
- Membership Development
- Assembling mailed membership packages once per month
- Coordinating membership communication drafts
- Assisting with finding testimonials, photos, and stories to help build community
- Community Development
- Assisting with development and execution of the social media calendar and posts
- Monitoring social media direct messaging and responding or redirecting as needed
- Assisting the Social Committee with administrative tasks required to organize Social events
- Maintaining a database of volunteers and providing administrative support to the Operations Manager or Area Directors when needed to organize trail days, and other related events
- Undertaking related duties as assigned consistent with the scope of this position
- Communicating in a respectful and professional manner with all members of the community, including FVMBA staff, Board members, FVMBA members, volunteers, and all external stakeholders
Qualifications
- Minimum of a post-secondary diploma in a relevant field (e.g. Business Administration, Business Communications, etc.) or equivalent experience
- Minimum of one (1) year working in a non-profit organization in a similar role, knowledge of fundraising and revenue generation is an asset
- Excellent writing, proofreading, and editing skills for a variety of media types (print and digital) with an eye for detail, content, and brand
- Ability to interact and maintain effective working relationships with a wide range of individuals inside the organization and in the communities of the FVMBA
- Ability to work independently, exercise discretion, take initiative, and demonstrate sound judgment in accomplishing the goals of the FVMBA
- Proven ability to plan, schedule, and direct projects with priorities of paying attention to detail, optimizing resources, and effectively meeting deadlines and project requirements
- Demonstrated time management skills, with the ability to work on multiple projects simultaneously and shift priorities to meet deadlines
Skills and knowledge
- Committed to the sustainability and ongoing development of our local trails
- Strong communicator (both verbal and written)
- Computer literate—proficiency in Microsoft Office, Google Drive, and social media platforms; experience in WordPress, MailChimp, and Slack
- Able to take initiative with minimal supervision
- Able to identify problems and demonstrate resourcefulness in solving them
- Able to set goals, create and implement action plans, monitor progress, and report results
- Promotes and contributes to a respectful work environment; champions positive working relationships with our diverse community that makes the FVMBA such a great organization
